2023 Online Booking: New Addition – Credit Card Required

When booking online for 2023, you will now notice that ALL appointments require a credit card for booking. This will be in effect for the foreseeable future so that we can update all of our client files and have valid a credit card on file for bookings.

Due to an overwhelming number of missed appointments and late cancellations over the past few months and the difficulty our administrative team has had attempting to collect payment for these appointments, all from pre-existing clients, we are now implementing credit card requirements for ALL bookings.  Clients booking by phone who do not already have a card on file will be asked to provide one. Our system securely saves all credit card information linked only to your personal file. It is inaccessible to us beyond using it through our Square Point of Sale online system as payment for booked services as requested or as required for missed appointments/late cancellations where another form of payment is not provided. Our administrative team will always reach out to you prior to charging anything to a card on file for missed appointments or late cancellations.  We will do our best to contact you and discuss options for payment but if we are unable to contact you or arrange alternative payment, the card on file will be charged the applicable fee.

A reminder that our practitioners are all independent contractors who depend on client bookings for their income and livelihood.  When you miss an appointment, 3 people are affected: you, the practitioner and the client who could have taken that appointment time.  Our cancellation policy is clearly laid out on our booking page and on your client intake forms.  You are consenting to our cancellation policy when you book your appointments with our team.  A reminder that we require 24 hours notice for a cancellation and you are not able to cancel appointments online with less than 24 hours notice. You will need to call or email the clinic to do so.  If you have someone who is able to take your appointment and you can provide us with their booking information, and we can confirm, this is an option, otherwise our cancellation policy is in full effect.

We understand that emergencies arise, please contact our administrative team as soon as possible to discuss these situations for appointment cancellations.

This change in our booking system may pose a slight inconvenience to you. We appreciate that you recognize the need to implement this change and we are grateful that many of you already respect and value our practitioner’s time.
